Job Title: Administrative Assistant

REPORTS TO: Chief Executive
Officer/Chief Operating Officer

JOB PURPOSE: Provides office service by:
- answering phones and directing callers to
the appropriate staff
- implementing administrative systems and
procedures
- supporting office and organizational
operations


ESSENTIAL JOB RESULTS



I. Assists with overall operation of the
office by:

Completing preventive maintenance requirements, calling for repairs when needed; maintaining equipment inventories; monitoring postage meter and group dials for the fax machines; being familiar with telephone operating system; assisting the staff with training needs on such office equipment; gathering pertinent data for evaluating and recommending a course of action for office equipment upgrades, i.e., fax machine, postage meter, copy machine and phone system.


II. Serves as Staff Assistant to the Board and
Coalition Council by:

Planning and coordinating meetings and conference logistics (including conference calls); maintaining files, lists and other pertinent information; overseeing preparation for meeting set up and all travel/hotel accommodations; preparing and producing all reports and materials for mailings.


III. Responsible for inputting/maintaining data
and regularly updating various in-house data bases and directories.

Removing incorrect information, entering new or updated information; general maintenance of donor database including inputting and maintaining e- mail addresses for donors; general maintenance of basic information about donors (change of phone numbers, death, births, change of address, phone number, etc., opting out of certain mailings); invoice processing for direct mail vendors.



IV. Assists in implementing administration
systems and procedures by:

Coordinating and providing assistance with mailings; keeping in-house mailing lists current; attending and taking notes of general staff meetings; monitoring and maintaining staff calendar; assisting Executive Office with travel needs including transportation and hotels; insuring the office is functional; and setting up conference calls, as may be needed.


V. Specific receptionist duties include:

Receiving and routing telephone calls; processing and routing incoming mail, faxes, and deliveries; receiving and logging in office visitors; logging incoming foundation checks; reordering and maintaining stock and office supplies; filling Resource orders.


VI. Contributes to the team effort by:

Assisting with other duties as needed.





JOB QUALIFICATIONS

Excellent communication skills, both oral and written. Minimum of three (3) years experience in administrative or related field. Candidate should be flexible and resourceful with an ability to quickly learn new procedures to address staff and organizational needs. Must be detail-oriented and self-starter; and, have the ability to write required reports, minutes and technical office procedures. Proficient in Windows and spreadsheet applications; knowledge of database systems.
